Individual Reservations
Planning a trip with a small group? Here’s what you need to know about individual reservations (less than 10 rooms booked at the same hotel).
Paying for your Stay
- Full Prepayment: We request full payment for all your reserved nights within seven days of making your booking.
- Confirmation and Payment Deadline: Your reservation is only confirmed once we receive your full payment in cleared funds. We want to secure your rooms, so if payment isn’t received within seven days, your rooms may be released back into the booking system for others to book.
- Minimum Stay Requirements: Please note that some hotels may have minimum stay requirements, which will be clearly stated in the room rates section.
Canceling Your Trip
- Communication is Key: To cancel your accommodation, please send us a written email. We understand things happen!
- Cancellation Charges: If you cancel your stay before December 12th, 2024, you’ll receive a full refund via your original payment method. However, if you cancel after December 12th, 2024, your full payment will be kept as a cancellation fee. We want to be upfront with you, and unfortunately, these fees are non-refundable and cannot be used for future bookings.
- No Shows: If you don’t check in within 48 hours of your scheduled arrival date, we’ll unfortunately have to release your rooms back to the hotel, and no refund will be issued.
Your Invoice
- Deposit and Final Settlement: bnetwork collects your initial deposit for the reservation. We then transfer the full payment to the hotel.
- Confirmation and Invoice: You’ll receive a confirmation email upon receiving full payment, but remember, we won’t issue you an official invoice. Instead, your payment will appear as a deduction on the final invoice issued by the hotel upon your check-out. Any remaining balance on the final invoice will need to be settled directly with the hotel before you leave.
Group Reservations
Planning a larger gathering? For group reservations (10 or more rooms at the same hotel), we have a few additional details for you:
Securing Your Rooms
- Deposit Schedule: A 40% deposit of your total room block is required upfront to confirm your reservation request.
- Before November 15th, 2024, we’ll need an additional payment to bring your deposit to 80% of your room block.
- Before December 13th, 2024, you’ll need to make a final payment to reach 100% of your total room block. Any rooms or nights added after this date will require full upfront payment to be confirmed.
- Minimum Stay and Confirmation: Please note that some hotels may have minimum stay requirements, which will be clearly stated in the room rate section. We’ll confirm your entire reservation once we receive all payments in cleared funds. If the required deposit isn’t received by the scheduled date, only the paid nights and rooms will be confirmed, and the remaining rooms may be released back into the booking system.
Cancellation Policies
- Flexible Cancellation Period: Between the date you make your reservation and September 17th, 2024, you can cancel up to 100% of the rooms per night, per hotel, without any penalty (excluding management fees).
- Gradual Cancellation Restrictions: As we get closer to your event, the cancellation policy changes:
- September 18th to October 17th, 2024: 50% of the rooms per night can be canceled without penalty. Any additional room/night cancellations will incur a 100% penalty fee.
- October 18th to November 15th, 2024: 30% of the rooms per night can be canceled without penalty. Any additional room/night cancellations will incur a 100% penalty fee.
- November 16th to December 12th, 2024: 10% of the rooms per night can be canceled without penalty. Any additional room/night cancellations will incur a 100% penalty fee.
- December 13th, 2024 onward: Any additional room/night cancellations will incur a 100% penalty fee.
- Non-Refundable Fees: Cancellation fees are non-refundable and cannot be used for future bookings.
